Modernizing the User Experience for Enterprise Software

Summary: As a UX Designer at Zeitspace, I collaborated with the InFlight design team to modernize the Manager Alerts portion of IBM’s PeopleSoft implementation. Several areas of the HR software had already been updated, providing established design components and patterns to work with. My role was to ensure the new interface aligned with these existing designs while also identifying opportunities to improve efficiency and usability.
Through research, iterative design, and close collaboration with stakeholders, we transformed a complex, outdated system into a streamlined and intuitive experience. By leveraging modern design patterns and eliminating friction points, we delivered a solution that enhanced accessibility, consistency, and overall user satisfaction.
Process
The process began with a deep dive into existing user insights, reviewing call notes and feedback gathered by the product manager. To further understand the experience firsthand, I explored the software using various accounts, stepping into the shoes of a manager navigating their workflow. This revealed key design challenges, like what I call modal inception, where managers could end up with four overlapping modals. This presented a clear opportunity to streamline interactions and improve efficiency.
To refine my understanding, I engaged the client with targeted questions, digging deeper into user needs and specific scenarios. Throughout the design phase, I collaborated closely with product managers and developers, conducting design reviews and iterating based on feedback. Leveraging existing design system components and introducing a few new elements where needed, we shaped a modernized, cohesive experience.
After several iterations the client approved the final designs. This set the stage for a more intuitive and efficient user experience.
Delivery
The Manager Alerts project was successfully implemented and released, with only minor adjustments made post-launch. The redesigned experience significantly improved usability and visual consistency, earning positive feedback from managers.
A key win was the "Send Notifications" feature, where we replaced a complex, multi-modal workflow with a single streamlined modal. By incorporating common UX patterns, such as a type-ahead search, managers could quickly find recipients without unnecessary steps. This made the process more intuitive and efficient.
Iteration
After launch, a few minor interaction refinements were made based on client feedback. However, during the remainder of my time at Zeitspace, the client was fully satisfied with the feature, requiring no further revisions. This confirmed the success of the redesign in meeting their needs.
